These are the policies and procedures laid out by Imam Alkisai Institute to preserve and promote fairness and quality of service as much as possible. They must be accepted by all students (and parents/guardians of students) before they can undertake study with us.

We try, in our dealings, to explain to the students the full procedures, with a detailed statement of rights and duties, in order to fulfil the order of Sharia and seek the benefit of all parties.

Evaluation 

All students must be evaluated before they begin. The purpose of the evaluation is to determine the level of the student, and to ensure they are fully aware of what their chosen  programme/course entails. It’s also a chance for them to meet the management team and teacher.  

[1.0] Every student is obliged to book an interview with the advisor from the international programs. 

[1.1] The cost of the interview is £50 per student.

[1.2] If the student has completed the registration for the programs after the interview, the £50 will be deducted from the package.

Payment (summer programme):

[2.0] The package is paid in two steps. 

[2.1] First step: Half of the remaining amount must be paid by means of an invoice prior to entry. 

[2.1.1] The money has to be paid 4 weeks before the trip starts.

[2.2] Second step: The next half of the remaining amount must be paid after entry. 

[2.2.1] The amount must be paid within 3 days after entry.

Payment (one-year programme): 

[3.0] The whole money must be paid within the deadline stated on the invoice.

Free Course:

[4.0] After leaving the country, we offer every student to take part in a 1 month course.

[4.1] This course is free for every student who has completed the Turkish study abroad summer programme.

[4.2] The course is calculated from the day after departure.

[4.3] The duration of the lessons is 2 times a week, 1 hour / 1 lesson

[4.4] The class consists of the participating students from the international program. 

[4.4.1] Private lessons are not used for the free course.

[4.5] The student can delay taking the free month with a fine of £10 for the month

[4.6] It is allowed to delay the course up to 3 weeks.

Activities and Trips (throughout the country):

[5.0] The Imam Alkisai Institute is responsible for the students during the activities and trips directed by the institute.

[5.0.1] The institute is not responsible and is not liable for the activities outside the program.

[5.1] The students have to adhere to the law.

[5.1.1] The institute is not responsible for breaking the law by the students. 
[5.1.2] If rules or laws have been broken, the institute can take action.

Interaction with teachers:

[6.1] We encourage a good relationship between teacher and student. However, students may not seek teachers’ or tutors’ personal contact details such as phone numbers and personal email addresses.

[6.2] Students/parents may not seek to add teachers on social media or communicate with them through other means of communication e.g. WhatsApp, Viber, Telegram

[6.3] Teachers don’t have to make up for the time you missed due to lateness from your part;

[6.4] Teachers will make up for lost time if they are late.

[7.1] Materials should not be shared and course curricula and resources with the institute’s logo on them are made particularly to benefit our students who have enrolled with us, and have been gathered and put together by the efforts of our team. Students may print them for personal use but may not distribute or share them.

Refunds (summer programme):

[8.0] The student can cancel the interview before it has taken place.

[8.0.1] The money will be refunded to the students.
[8.0.2] Processing fees will be deducted.

[8.1] The student can cancel the program within 14 days after payment. 

[8.1.1] The money will be refunded. Processing fees will be deducted.

[8.2] If the cancellation took longer than 14 days, only 10% will be refunded of the remaining half amount.

Refund (one-year programme)

[9.0] The student can cancel the interview before it has taken place.

[9.0.1] The money will be refunded to the students.

[9.1] The money will be refunded in stages.

[9.1.1] First Stage [1-20 days]:

If the student canceled the program between 1-20 days after the invoice was sent, the following rules apply:
– The amount will be refunded.
– Processing fees will be deducted. 

[9.1.2] Second stage [21-60 days]:

If the student canceled the program between 21 – 60 days after the invoice was sent, the following rules apply:
– Students will be charged 40% of the program fee.

[9.1.3] Third Stage [61-90 days]:

If the student canceled the program between 61 – 90 days after the invoice was sent, the following rules apply:
– Students will be charged 60% of the program fee.

[9.1.4] Fourth Stage [90+ days / after Deadline]:

If the student canceled the program after the deadline (+90 days) the following rules apply:
-Students will be charged 100% of the program fee.

Housing and Living

[10.0] The students are obliged to observe and adhere to the rules of the country. 

[10.0.1] The institute is not responsible for breaking the law by the students. 
[10.0.2] If rules or laws have been broken, the institute can take action.

[10.1] At the beginning of the program, there will be an introductory tour in which we will try to introduce the student to the place of study, housing, shopping, etc.

[10.1.1] the students are obliged to ask the supervisor all questions. The Institute is not responsible for all other actions and activities.

[10.2] The student should cooperate with the supervisor in matters of the visa and not do anything on his own, otherwise the institute will not be responsible for that.

[10.2.1] The students must pay the visa fees themselves, as it is not included in the program fees.

[10.3] The institute is responsible for the electricity, water and internet costs.If the costs rise above those of a normal consumer, the student has to pay the costs himself.

[10.4] In the event of property damage, the student must report it to the institute immediately.

[10.4.1] The person/student damaging the property must pay the costs.

[10.5] Please pay attention to the neighbors and do not make any noise or any other unpleasant things in the house. 

[10.5.1] Please also pay attention to your flat share members/students and behave properly.

[10.5.1.1] All students are required to be home by 11pm. 
[10.5.1.2] the lights must be switched off at 11:30 p.m..

[10.6] The institute can take action in the event of any rule violations.

Responsibilities

Students are expected to:

[11.0] Attend all their classes on time;

[11.1] Focus and participate in the lesson fully;

[11.2] Engage and interact with the teachers and their classmates where required;

[11.3] Dedicate time outside classes going over their lesson notes and studying the content that they covered in class.

[11.4] Complete the homework set by the teacher and submit it in on time;

[11.4.1] Failing to submit homework more than three times can result in the teacher deducting marks off their exam.
[11.4.2] If the teacher sees that the student’s progress is being affected, they may require the student to take extra classes.

[11.5] Come prepared with all the required study materials and stationary;

[11.6] Take the initiative to catch-up on any lessons they missed;

[11.7] Complete the work given to them by the teacher;

[11.8] Interact with their classmates and teachers with good manners;

[11.9] Stay on topic during the lesson with their classmates and teachers;

[11.10] Seek help for themselves when they need it by contacting the right person;

[11.11] Communicate all issues and concerns as soon as possible so they can be addressed in a timely manner;

[11.12] Inform the relevant person if they are going to be absent or delayed for an activity which they were  expected to attend;

[11.13] Show respect to the institute’s property and building;

[11.14] Show respect to all members of staff.

Lateness & Absenteeism

Students should seek to understand the following policies and procedures, and know its purpose is to establish fairness for both students and teachers as well as  motivate students to commit to their lessons and reach their targets.

Lateness

[12.0] Students are marked ‘late’ if they arrive 10 minutes after the start of the lesson.

[12.1] Three lates equal to one unauthorised absence. 

[12.2] Teaching staff have the right to refuse admission to class to students who arrive 15+ minutes late without a proper excuse. Their absence will be marked as unauthorised. 

[12.3] Students who arrive 15+ minutes, 5 times in a level (even with a proper excuse), will have a meeting with the teacher/supervisor who may require the student to take a make-up lesson if they feel that the student’s progress is being affected. 

Authorised Absences

Holidays 

[13.0] Any student who would like to take holiday must inform the institute at least 2 weeks before the time they wish to take the holiday. The school will decide if the length and suitability of the break will affect the student’s progress. We will then decide whether to authorise the holiday.

[13.1] Make-up lessons must be taken to compensate for the lessons missed unless decided otherwise by administration. 

Illness

[13.2] If a student is feeling unwell and unable to come to the institute, they must call, email or message administration before their lesson is due to start.

[13.3] If the student is still unwell after 3 days, they will need to bring in a doctor’s note when they return. Failure to do this will result in the days missed as unauthorised absence.

Other reasons:

[13.4] Sometimes a student will require time off for other reasons, such as appointments or emergencies. Where possible, the student should tell us in advance of these days. If this is not possible the student must call the institute’s administration before their class starts.

[13.5] Make-up lessons must be taken to compensate for the lessons missed unless decided otherwise. 

Emergency

[13.6] If you cannot participate in the program due to physical and/or mental debilitation, death or serious illness in the immediate family, severe financial hardship or other extenuating circumstances beyond your control before or while participating on a study abroad program you can submit a Petition for Emergency Withdrawal. If granted, the emergency withdrawal may allow partial relief from your financial obligations to the program.

[13.6.1] The emergency must be confirmed in writing by a doctor / hospital.

Unauthorised Absences

Missing a class without informing the institute by email, phone or instant messaging (Whatsapp/Telegram) as to their non-attendance will cause this to be counted as an unauthorised absence. We have strict procedures in place to monitor and act upon unauthorised absences.

If a student has an unauthorised absence 2 times within a level, the following procedures will take place:

  • receive their first written warning 
  • have a meeting with the  teacher/supervisor/Director of Studies
  • be required to take make-up lessons for the classes that they missed alongside their normal classes unless they can prove they have caught up with what they missed and their progress has not been affected (this is ultimately for the teacher to decide)

The above will continue happening for further absences, so long as the student compensates for the missed classes.

If the student fails to attend the make-up classes, they will:

  • receive a second written warning
  • have a meeting with the teacher/supervisor/Director of Studies
  • have their emergency contacts notified

The student will:

  • receive a final written warning
  • have a meeting with the teacher/supervisor/Director of Studies who will review the student’s seriousness towards their learning.
  • have their emergency contacts notified

Expulsion from the programme (with no refund). 

Exams & Level

[14.0] Students moving onto the next level is based on the student’s participation and commitment as well as their exam results. 

[14.1] If students fail the level, or have passed with a low score, they will be required to take extra classes to fill up the gaps in their learning. 

[14.2] If students score zero or close to zero in the exams, they will be required to retake the level at their own expense with subsidised fees. 

General 

[15.0] The Alkisai institute cannot be held responsible if students do not commit to their responsibilities as students, especially as learning is a two-way process.

[15.1] Make-up or extra classes may be online or offline, depending on the availability of teachers. 

[15.2] Make-up or extra classes are to be taken alongside the normal timetabled hours unless decided otherwise.

[15.3] The fees for extra and make-up classes are for students to cover unless mentioned otherwise. Alkisai Institute decide to subsidise the costs at their discretion.
